Signs Your Business Has Outgrown Its Current Systems

Most businesses don't decide to replace a system on a fixed schedule — they keep patching around its limitations until the cost of the workarounds exceeds the cost of fixing the actual problem.
Signs worth paying attention to
- Spreadsheets doing a database's job — if critical business data lives in spreadsheets that get emailed around and manually merged, that's a system gap, not a spreadsheet problem.
- Multiple systems, no single source of truth — when the same customer or order data is re-entered in two or three places, reconciliation errors are guaranteed.
- Reporting takes days, not minutes — if month-end reporting means someone manually compiling numbers from several sources, the underlying system isn't giving you visibility.
- The system can't do what compliance now requires — e.g., no clean path to eTIMS fiscalization or M-Pesa reconciliation.
Modernize, migrate, or rebuild?
Not every "outgrown" system needs a full rebuild. Often the right move is targeted integration — connecting the existing system to the missing piece (compliance, payments, reporting) — rather than a ground-up replacement. A proper assessment should tell you honestly which one you actually need.
